What to know about your corporate travel planner

Tips on recognizing an effective corporate travel planner.

Each organization, business or corporation manages their travel needs differently. Sometimes executive travel is handled by personal assistant. In larger corporations, there are internal departments that handle the travel requirements for the entire organization. In our own experience, there is no set methodology to handle and manage all travel and transportation needs for a small or mid-sized Corporation. Many times, one of the better solutions, depending on budget, is utilizing corporate travel planners.

In an effort to help your corporation or business sort through the corporate travel challenges, we are posting part 1 of a new corporate travel planners blog series. What we hope to provide within this blog series, are some specific options as well as research on various corporate travel planner services. Keep in mind, we are a corporate sedan and limo airport service that provides ground transportation to the Philadelphia Airport, JFK airport, Newark Airport and all other primary destinations in and around the city of Philadelphia. Although Philadelphia is our primary focus, we can and do help any corporate travel managers in all parts of the country.

The 1st corporate travel planners we have researched is called CTP for the Corporate Travel Planners. One of the reasons we have chosen this corporate travel entity is simply due to the fact that they have achieved a number 1 organic listing on the search engine Google. This makes the statement to us that they have at least invested the time and effort as well as technological understanding of how to provide relevant information to you the corporate traveler. Search engines are excellent when evaluating how a specific website contributes valuable content to its target market.

One thing we have noticed about CTP or the Corporate Travel Planners is their attention to service. This is a critical component of a successful travel planner, or any travel related service for that matter. Details are very important simply due to the nature of travel related change. I probably don’t have to tell you as you know from first-hand experience flights, because of an abundance of reasons can change on a dime. These changes cause a chain reaction all the way down the line. If any of your travel related elements change, your travel planner or any other related service (limousine service) must change with it in a timely manner. The last thing you need is to be stranded along any point of your excursion. CTP seems to have been crafted hiring an interview strategy to be sure they hire consultants that understand these nuances. After all, in many cases, your corporate travel consultant is the linchpin between stress-free travel or a legendary travel nightmare. Also, as we stated in the previous paragraph CTP does have a significant focus on technology. Booking tools, back-office systems and Internet resources can play a crucial role in a customer’s travel strategy and of course the success of that strategy.

Another distinction between an average corporate travel planner and CTP who we are presenting today, is a healthy understanding between the differences of corporate travel, luxury travel, group travel and vacation travel. Many travel organizations lump these groups into one. This can be a costly mistake for the consumer as these different forms or styles of travel can be very different so the details once again can prove to be invaluable. To give you a little bit of an idea as to the differences between these types of travel are as follow: there are many components that separate group travel, corporate travel, luxury travel or vacation travel can be the use of private jet services if required (and affordability), chauffeured car or limousine service, direct communication and management of exclusive hotels, yacht charters, destination arrangements, cruise research and planning, passport and visa accuracy and concierge, meeting services all the way to travel insurance. The point here is that there are so many components of a successful business trip, luxury travel, adventure or even a wedding, that the details and the right corporate event planners can make all the difference in the world. My company had an international artist picked up at JFK and dropped off in Philadelphia, and the artist had the best time. The driver kept in touch with me throughout the day, so we could plan for arrival, and our artist had the most wonderful experience with the driver. That’s really astounding considering our artist had just gotten off a red-eye from across the world. Thank you so very much!
